Office Policies & Client Agreement

Welcome to Winston-Salem Massage & Wellness. To ensure a smooth, safe, and therapeutic experience for everyone, we have established the following policies. We appreciate your cooperation and understanding. By using our services, you agree to these terms.

Booking & Appointments

  • By Appointment Only: All sessions are scheduled by appointment only. We recommend booking in advance to secure your preferred time.
  • High Demand of Some of our Services: We offer a Client Waiting List for those services that are fully booked and you can ask to be put on our last minute client call list if we have sudden changes to the schedule and availability in sessions for the day. Please note that an intake form must be completed and reviewed before booking those sessions. 
  • Same-Day Availability: Due to the nature of our scheduling, same-day appointments are often not available. Please plan accordingly.
  • Securing Your Appointment: All appointments require a valid credit card to be held on file. This card will only be charged in the event of a late cancellation or no-show, as detailed in our policy below.

Cancellations, Rescheduling & No-Shows

Your appointment time is reserved exclusively for you. We understand that life happens, but we kindly request your cooperation with our cancellation policy.

  • 24-Hour Notice: We require a minimum of 24 hours’ notice to cancel or reschedule an appointment. This allows us the opportunity to offer the time slot to another client.
  • Late Cancellation Fee: Cancellations made within the 24-hour window of your scheduled appointment will result in a charge of 100% of the scheduled service fee.
  • No-Call / No-Show: If you do not arrive for your scheduled appointment and have not provided any notice, you will be considered a no-show and charged 100% of the service fee. Any future appointments will require full prepayment to schedule.

Arrival & Session Time

  • First Appointment: For your first visit, please arrive 10 minutes early to complete the necessary intake forms and discuss your goals for the session without cutting into your hands-on time.
  • Late Arrivals: We will do our best to accommodate you, but arriving late may result in a shortened session to ensure we are on time for our next client. The original service fee will still apply.

Payment & Insurance

  • Payment: Payment is due in full at the time of service.
  • Accepted Forms of Payment: We accept cash, check, major credit cards, and Health Savings Account (HSA) or Flexible Spending Account (FSA) cards.
  • Insurance: We do not bill any form of insurance directly. However, we are happy to provide you with a detailed receipt of services for you to submit to your insurance company for potential reimbursement.

Health & Safety

Your health and safety are our top priorities.

  • Illness: If you are feeling unwell or have any symptoms of a contagious illness, please contact us as soon as possible to reschedule your appointment. There is no penalty for rescheduling due to illness, but we ask for as much notice as possible. This policy protects you, your therapist, and all other clients.
  • Client Intake & Disclosure: All new clients must complete a confidential health history form. It is your responsibility to inform your therapist of any medical conditions, medications, or changes in your health status. We may require a doctor’s consent to treat certain conditions to ensure your safety.

During Your Session

  • Scope of Practice: Our licensed massage therapists do not diagnose illness or disease, nor do they prescribe medical treatment. Massage therapy is not a substitute for medical examination or care. We work to be part of your wellness team and are happy to communicate with your primary healthcare providers.
  • Professional Boundaries: Our sessions are held in a tranquil and professional environment. Any inappropriate language, behavior, or requests will result in the immediate termination of the session, and the client will be responsible for the full service fee.
  • Your Comfort: You have the right to be comfortable and safe. Please communicate with your therapist at any time if you feel your well-being is being compromised, if you need the pressure adjusted or change in positioning, or if you are too cold or warm please let us know.

General Terms & Client Agreement

  • Service Participation: By choosing to receive massage therapy, you acknowledge that the treatment is for the well-being of your body and mind. You agree to communicate with your therapist any time you feel your well-being is being compromised.
  • Medical Disclaimer: Service providers at Winston-Salem Massage & Wellness do not diagnose illness, disease, or any physical or mental disorder, nor do they prescribe medical treatment or pharmaceuticals. The services offered are not a substitute for medical examination or diagnosis. It is your responsibility to consult with a primary health care provider for any medical concerns.
  • Liability: Winston-Salem Massage & Wellness and its owner/operator are not responsible for lost or stolen property.
  • Risk Acceptance: You voluntarily accept the risks associated with the services provided. Except where prohibited by law, you acknowledge and voluntarily assume the risk of injury, accident, or death arising from participation in any service or use of the facilities.
  • Release of Claims: You and/or your heirs, executors, or representatives hereby release Winston-Salem Massage & Wellness and its employees/contractors from all claims or liabilities for death, personal injury, or property loss or damages of any kind sustained while on the premises or from any advice or services provided, to the fullest extent permitted by law.

Winston-Salem Massage & Wellness and Owner/Operator Sumner Hege – LMBT/C-MLD, are not responsible for lost or stolen property nor liable for any injury or condition that arises from classes, events, or massage sessions despite the completion of any forms. This waiver is intended as an assessment tool and guide for the application of massage or exercise, not for medical treatment or medical assessment.

Service Participation

By choosing to receive massage therapy or participate in an event or class, you acknowledge that it is your choice and understand that the class or treatment is being given for the well-being of your body and mind. Communicate with your service provider/therapist any time you feel your well-being is being compromised.

Service providers at Winston-Salem Massage & Wellness do not diagnose illness, disease, or any physical or mental disorder, nor do they prescribe medical treatment or pharmaceuticals. The services offered are not a substitute for medical examination or diagnosis. It is recommended that you see a primary health care provider for medical services. All medical conditions you are aware of must be stated, and any changes in health status should be updated to the service provider. We sometimes ask for doctors waivers and consent to treat and we try our best to communicate with your care team to build a team approach to care. It is your responsibility to consult with your physicians.

Risk Acceptance

You voluntarily accept the risks associated with provided services, including but not limited to: Massage, Lymphatic Drainage, Energy & Sound Healing, Yoga, Exercise, etc., or the use of any of the location’s facilities. Except where prohibited by law, you acknowledge and voluntarily assume the risk of injury, accident, or death arising from the use of any program, event, or activity. Winston-Salem Massage & Wellness / Sumner Hege will not be held liable for death or any injury, including personal, bodily, or mental injury, economic loss, or damage resulting from negligence, other acts in class or session, anyone acting on another party’s behalf, or anyone using the services or facilities, to the fullest extent permitted by law.

Agreement Terms

This agreement constitutes the entire agreement between you and Winston-Salem Massage & Wellness and cannot be amended except in writing by both parties. You and/or your heirs, executors, representatives, or assignees hereby release Winston-Salem Massage & Wellness / Sumner Hege from all claims or liabilities for death, personal injury, or property loss or damages of any kind sustained while on the premises, during the use of the facility, and/or from any advice or services provided by an employee, independent contractor, or any representative.

Behavior and Cancellation Policy

The massage session is a tranquil and professional environment, and any inappropriate behavior may result in the termination of services with full payment expected. Adherence to the cancellation policy is required, with full payment for sessions not canceled or rescheduled in the appropriate amount of time.

By using our website and services, you agree to the above terms and release Winston-Salem Massage & Wellness / Sumner Hege and its employees from any liability.
